The Fleet and Garage Supervisor is responsible for leading, coordinating, and supervising all maintenance, repair, and safe operation of Amazi Water’s vehicle fleet, motorcycles, and drilling equipment. The role oversees the garage team and ensures that all mechanical work whether performed in-house or externally is completed to the highest standards of quality and safety. He/she also assists in fleet management support, ensuring that the fleet fully meets Amazi Water’s operational needs across all field locations. This is a workshop-based role that requires strong mechanical leadership, team supervision, and cross-departmental stakeholders. Acting as a key link between drivers, the garage team, and the fleet department, he/she ensures reliable, safe, and efficient fleet operations.

Key Tasks & Responsibilities
• Maintenance & Repair
• Supervise, coordinate, and lead all maintenance and repair activities for Amazi Water’s fleet: vehicles, motorcycles, generators, and drilling equipment
• Ensure that routine checks, preventive maintenance, and repairs are performed in accordance with manufacturer schedules and AW standards
• Ensure that diagnostics and repairs are carried out by the garage team and approved external providers, in compliance with quality and safety standards
• Conduct pre-service, post-service, and follow-up inspections to ensure all vehicles and equipment are roadworthy and fully serviceable
• Supervise and monitor the work of both in-house mechanics and outsourced service providers, ensuring compliance with quality standards and contractual terms
• Identify qualified and reliable external garages; support the establishment of framework contracts and conduct regular performance reviews
• Oversee and validate outsourced repair work and related invoices before submission for payment
• Ensure all equipment, parts, and tools used in repair activities meet safety standards and are properly maintained and utilized
• Maintain an accurate and up-to-date list of vehicles, motorcycles, generators, and drilling equipment and their maintenance status
• Ensure accurate and complete documentation of all maintenance and repair work, in line with AW standards and audit requirements
• Proactively identify risks and faults and escalate critical issues to the Fleet Manager, with recommendations for action
• Lead, supervise, and coordinate the work of the garage team (mechanics and support staff), ensuring high standards of quality, safety, and efficiency
• Ensure timely and accurate completion of work orders; set clear expectations and assign daily tasks to mechanics; monitor task completion and workmanship
• Provide regular technical guidance and mentorship to the garage team to strengthen capacity and performance
• Conduct performance evaluations for garage staff and implement development plans where needed
• Plan and facilitate skills development and training sessions on diagnostics, repairs, and workshop safety
• Maintain a well-organized, safe, and compliant garage environment, ensuring availability of required tools and parts
• Act as the primary liaison between mechanics, the Fleet Manager, Operations Managers, and Procurement Manager on all garage operations
• Contribute to continuous improvement efforts by helping benchmark fleet KPIs and identify opportunities for cost reduction and process optimization
• Develop and implement preventive maintenance schedules aligned with operational needs and budget
• Support preparation of annual fleet maintenance and fuel budgets
• Oversee spare parts procurement, usage and inventory management in collaboration with the Fleet Manager and Procurement Manager
• Ensure effective traceability and usage tracking of all spare parts
• Propose cost-saving measures related to maintenance and fleet operations
• Conduct periodic and ad hoc audits to ensure accountability and documentation
• Ensure that accurate and comprehensive monthly fleet management reports are prepared and submitted, covering: fleet performance and utilization, GPS tracking, vehicle diagnostics, maintenance and repair costs per vehicle/equipment, fuel consumption and trends, garage operations and service quality, KPIs and recommendations for improvement
• Ensure all required maintenance, repair, and fleet data is properly documented and submitted to relevant stakeholders (Fleet Manager, Procurement Manager, Operations Managers etc.)
• Proactively analyze fleet management data and lead discussions on cost saving and continuous improvement
• Maintain audit logs to ensure compliance with standard operating procedures
• Oversee and ensure compliance with all safety protocols and standards within the garage and across fleet operations
• Ensure that all vehicle servicing and repairs comply with national traffic regulations and Amazi Water internal vehicle policies
• Plan and coordinate with the Fleet Manager regular training workshops for drivers on: fuel-efficient driving techniques, proper vehicle care and daily inspections
• Support the selection and (re)testing of drivers, including fitness and medical checks, in collaboration with the Fleet Manager
• Lead the process to verify compliance and roadworthiness of all vehicles through regular inspections and audits
• Ensure that vehicles and equipment meet AW and legal safety requirements prior to field deployment and establish mechanisms to monitor ongoing compliance
• A diploma or degree in automotive engineering/mechanics, mechanical engineering, or equivalent technical qualification or proven equivalent experience
• 6+ years of related work experience in vehicle maintenance, repair, and fleet management
• 4+ years of management/supervisory experience, including supervision of mechanical teams and garage operations
• Experience implementing telematics and GPS tracking systems
• Strong knowledge of vehicle diagnostics, repair, and maintenance
• Proficiency in inventory management and spare parts requisition processes
• Familiarity with modern diagnostics and techniques and digital archiving systems
• Budget management financial acumen
• Experience working in NGOs or multi-site fleet context is an advantage
• Excellent leadership and team management skills with experience managing a team of mechanics
• Strong organizational and documentation skills
• Effective communication and problem-solving skills
• Proactive problem-solving skills and the ability to handle operational challenges
• Professional fluency in English, Kirundi and French. Swahili is desirable as well
